Write Better AI Prompts: A Beginner’s Guide & Template

AI fundamentals · Beginner guide · 6 minute read

A useful AI prompt is a clear brief. Define the task, provide context, set boundaries, and choose the format. Then review the answer before using it.

This companion guide expands our 1 minute 52 second tutorial with a reusable template and a practice exercise. You can follow along in an AI chat tool of your choice.

Your takeaway

Turn “Write a welcome email” into a brief that specifies who the email is for, what facts it may use, and how the response should be organized.

1. Name the task

Ask for a concrete deliverable. “Write a welcome email for people who registered for a free beginner AI workshop” gives the assistant a clearer job than “help me with marketing.” Keep one main task in the first draft; add follow-up tasks after you have checked the result.

2. Give the context that matters

Describe the audience, purpose, and facts the answer should use. In this example, attendees are first-time learners, and the workshop covers clearer prompts and checking AI answers. Those details help set the vocabulary and explain the value of attending.

If you include source material, mark it clearly with a delimiter such as BEGIN SOURCE and END SOURCE. Share only information you are comfortable sending to the tool.

3. Set useful constraints

Constraints make success easier to assess. Set the email body to fewer than 120 words, request a friendly and direct tone, and explicitly state that the event date, time, and joining link have not been supplied. Ask the model to list missing details instead of inventing them. That instruction helps, but you still need to check the output.

4. Specify the output format

Ask for three labeled sections: a subject line, an email body, and a missing-details checklist. The checklist belongs outside the email body so unfinished planning notes do not accidentally reach recipients.

Copy this worked example

TASK
Write a welcome email for people who registered for a free online beginner AI workshop.

CONTEXT
The audience is first-time AI learners. The workshop covers writing clearer prompts and checking AI answers. The date, time and joining link have not yet been supplied.

CONSTRAINTS
Keep the email body under 120 words. Use a friendly, direct tone. Use only the supplied facts. Do not invent the date, time, joining link or other event details. List missing information separately.

OUTPUT FORMAT
1. Subject line
2. Email body
3. Missing-details checklist

5. Review, then refine

Read the answer against the brief. Is the email under the word limit? Is it appropriate for a beginner? Did the model invent an event detail? Are the missing details separated from the email? Verify factual claims independently when needed.

Once the facts and structure are right, improve one aspect at a time:

Make the opening more welcoming. Keep the facts, structure and word limit unchanged.

The response shown in the video is illustrative. Actual wording varies by tool and run. A confident tone is not proof of accuracy.

A reusable blank template

Use only supplied facts for factual details. List essential missing information rather than inventing it.

OUTPUT FORMAT
[Sections, bullet points, table columns or other structure.]

REVIEW

Try it in five minutes

  1. Choose a small task, such as a meeting summary or product description.
  2. Write a one-line prompt and keep the response.
  3. Rewrite the prompt using the four-part brief.
  4. Compare both responses against the same requirements.
  5. Save the version that is easier to verify and reuse.

The goal is a dependable starting point, followed by human review. Save the downloadable template and adapt its fields to your next task.
